When your order shows a destination tag next to the deposit address, the tag is part of the payment, not an optional note. The Terms, section 9 are explicit: if a memo or tag is shown, it is mandatory, and without it a deposit cannot be matched to your order automatically. A deposit missing a required tag is also outside the automatic refunds (section 12), and its recovery is not guaranteed.
On the XRP Ledger, tags are plain whole numbers: source and destination tags are stored as 32-bit unsigned integers (XRPL docs on tags). Wallets and exchange withdrawal screens usually give the tag its own field, labelled Destination tag, Tag or Memo. Copy the tag from your order into that field and the amount into the amount field; on a small screen the two are easy to mix up. Some services show an X-address instead, a single string that combines a classic address with a tag.
Refunds work the same way in reverse. If you pay from an exchange, the XRP leaves from the exchange’s own address, and a refund sent there without the exchange’s tag may never reach your account.
